Procedures

1. Access to Physical Locations

  • The organization makes reasonable efforts to ensure that therapy and administrative locations are accessible to individuals with disabilities.
  • Accessibility considerations may include parking, entryways, treatment rooms, restrooms, and common areas.
  • When physical barriers are identified, reasonable alternatives or accommodations are explored to ensure access to services.

2. Requesting Disability-Related Accommodations

  • Patients, family members, staff, and vendors may request reasonable accommodations related to:
    • Service delivery
    • Access to organizational materials
    • Use of technology related to services or work duties
  • Accommodation requests may be made verbally or in writing.

3. Reasonable Accommodations for Service Delivery and Technology

  • The organization reviews accommodation requests in a timely manner and engages in an interactive process to determine reasonable accommodations.
  • Accommodations may include, but are not limited to:
    • Modified service delivery methods
    • Accessible documents or materials
    • Assistive technology or alternative communication formats
    • Adjustments to work-related duties or technology use

4. Closed Captioning for Video Materials

  • Closed captioning accommodations are available for video materials related to service delivery or work-related duties upon request.
  • Requests for captioning or alternative formats are reviewed and fulfilled in a timely manner when reasonable.

5. Communication and Distribution of Policy

  • This policy and related procedures are provided in writing to:
    • Staff (e.g., employee handbook, onboarding materials, internal policy repository)
    • Patients and families (e.g., intake packets, parent handbook, website, or posted notice)
  • Written materials include the contact information for the designated point of contact for requesting accommodations.

6. Documentation and Recordkeeping

  • Accommodation requests and actions taken are documented in accordance with confidentiality and privacy requirements.
  • Records are maintained for compliance and quality monitoring purposes and are available for review by accrediting bodies, including BHCOE.

Compliance

Failure to follow this policy may result in corrective action and may place the organization at risk for noncompliance with BHCOE accreditation standards and applicable accessibility laws.
